ADMINISTRATIVE SPECIALIST JOB DESCRIPTION


PRIMARY ROLES & RESPONSIBILITIES   

  • Administrative support of local lab and remote live testing activities, including:
  • Inbound travel arrangements and preparation of travel authorizations, welcome letters, and related correspondence
  • Preparation and assembly of name tents, test manuals, materials, equipment and facilities,
  • Directed execution of some tests and preparation / consolidation of defect reports for review by Test Managers.
  • Financial accounting system document entry, routing and related reports, including:
  • Payment vouchers
  • Purchase Card Transactions
  • Purchase Card Reconciliation / Approval
  • Routing of documents
  • Research and correction of errors
  • Alloy Navigator (accountable property inventory system) document entry, routing and related records, including:
  • Receiving / on-inventory
  • Biennial sighting / physical inventory
  • Disposal / off-inventory
  • Office administration and support, including:
  • Reception and direction of visitors, issuance of keycards
  • Phone attendant, including backup of remote agency sites
  • Ordering and inventory of office supplies and equipment
  • Initiating and monitoring custodial and facility maintenance requests
  • Mailing and shipping various items
  • Outbound travel arrangements​


SCHEDULES & BENEFITS  

The position is stable and full-time, and the work schedule is very conducive to a well-rounded life.  It is Monday through Friday, 40 hours per week, no nights, weekends, remote support or holiday coverage. The position we are hiring for is an individual contributor role. The successful candidate will be a full-time employee of Blueprint Consulting. Our company and work site is located in downtown Phoenix.

GENERAL REQUIREMENTS FOR CONSIDERATION

1. Associates Degree, 6 - 9 years of professional work experience in a professional business environment, including 3 - 6 years experience working as an administrative assistant or specialist.

OR

High School Diploma and 6 - 9+ years experience working as an administrative assistant or specialist.
